Instead of planning ad hoc meetings, have everyone have office hours. When needing to discuss a topic, attend the relevant persons office hours instead of gathering everyone in a single meeting.

- What is the primary outcome of this meeting? What will be different after the meeting? (If nothing will be different after the meeting, scrap it.)
- When building agenda, frame by questions to be answered rather than a list of topics.
